Privacy Policy
1. Data Controller
Knowledge Syscode Academy ('we', 'us') is the data controller for personal data processed through our websites and learning services operated in South Africa. Contact: compliance@knowledge-syscode.digital.
2. Categories of Personal Data
We may process identity and contact data (name, email, phone where provided), account credentials, enrolment and progress data, payment references processed by third-party providers (we do not store full card numbers on our servers), communications with mentors, and technical data such as IP address, device type, and cookie identifiers.
3. Purposes of Processing
We process data to deliver courses, provide support, improve materials, secure our systems, comply with law, and communicate service updates. Marketing communications are sent only with consent or another lawful basis.
4. Legal Bases
Processing may rely on contract performance, legitimate interests (such as fraud prevention and service improvement), consent where required, or legal obligations. Where consent is withdrawn for optional processing, we will stop that processing unless another basis applies.
5. Retention
We retain data only as long as necessary for the purposes above, including statutory retention periods for financial records. Learning records may be retained to verify completion unless deletion is requested and no overriding obligation applies.
6. Recipients and Transfers
We may share data with hosting providers, email delivery services, analytics tools configured to minimize identifiers, and payment processors. Where data leaves South Africa, we use safeguards such as standard contractual clauses or equivalent measures when required.
7. Your Rights
Under the Protection of Personal Information Act (POPIA), you may request access, correction, deletion where applicable, restriction, objection to certain processing, and portability where technically feasible. You may lodge a complaint with the Information Regulator (South Africa).
8. Security Measures
We implement administrative, technical, and organizational measures appropriate to risk, including access controls and encryption in transit where supported. No system is perfectly secure; report suspected incidents promptly.
9. Children's Privacy
Our Services are directed at adult learners and professionals. We do not knowingly collect children's data without parental authority. If you believe we have collected a minor's data improperly, contact us to delete it.
10. Automated Decision-Making
We do not use solely automated decisions with legal or similarly significant effects for learners. Analytics may inform product improvements but do not determine enrolment outcomes without human review.
11. Policy Changes
We may update this Privacy Policy to reflect operational or legal changes. The 'Last updated' date will change; material changes will be highlighted through reasonable channels.
